Refund Policy

At PolarPoll.com, operated by Win Media & Advertising d.o.o., we strive to provide the most intuitive and powerful survey experience. We understand that circumstances change, and we are committed to a fair and transparent refund process. This policy outlines your rights and our obligations regarding payments and refunds.
1. Statutory Right of Withdrawal (B2C Consumers)
If you are a consumer (a natural person acting for purposes outside your trade, business, or profession) residing in the European Union (EU) or the Republic of Serbia, you have a legal right to withdraw from your purchase within 14 calendar days from the date of the initial transaction without giving any reason.
Full Refund
If you exercise this right within the 14-day "cooling-off" period, we will refund all payments received from you.
Service Consumption
By checking the "Immediate Access" box during checkout, you expressly request the service to begin immediately. If you withdraw after using the service (e.g., collecting responses), we reserve the right to deduct a pro-rata amount corresponding to the service provided until the time of withdrawal.
Exclusion
The right of withdrawal is lost once the service is fully performed at your express request.
2. Business and Professional Users (B2B)
For users who use PolarPoll for business purposes, the statutory 14-day withdrawal period does not apply. However, to ensure your satisfaction, we offer the following:
14-Day Satisfaction Guarantee
New B2B subscribers are eligible for a full refund within the first 14 days of their initial subscription if the platform does not meet their technical requirements, provided that fewer than 50 survey responses have been collected.
No Mid-Cycle Refunds
Except for the initial guarantee, payments for monthly or annual subscriptions are generally non-refundable. If you cancel mid-cycle, you will retain access to your paid features until the end of your current billing period.
3. Auto-Renewals and Cancellations
Cancellation
You can disable auto-renewal at any time through your "Account Settings" or "Billing" tab. Your plan will remain active until the end of the current billing cycle.
Grace Period
For forgotten monthly or annual renewals, we offer a 48-hour grace period. If you contact us within 48 hours of the renewal charge and have not used the service during that time (e.g., no new responses collected, no data exports), we will issue a full refund minus a 3% transaction processing fee.
4. Refund Process
To request a refund, please follow these steps:
Submit a Request
Contact our support team at support@polarpoll.com or use the "Refund Request" form in your dashboard.
Information Required
Include your account email and transaction ID. A brief reason for the request is appreciated but not mandatory.
Processing Time
Approved refunds are processed back to the original payment method (Stripe/PayPal/Credit Card) within 5 to 10 business days.
5. Exclusions from Refunds
Refunds will not be granted in the following cases:
Terms of Service Violation
If your account is suspended or terminated due to a violation of our terms (e.g., phishing, spamming, or illegal data collection).
Account Deletion
If you manually delete your account without first requesting a refund, you forfeit any remaining time on your subscription.
